ConfTag ("we", "our", "the bot") is committed to protecting your privacy. This Privacy Policy explains what data we collect, why we collect it, how it is stored and used, and how you can request its removal.
By using ConfTag or the dashboard at conftag.pro, you acknowledge and agree to the practices described in this policy.
2. Data We Collect
ConfTag collects and stores the minimum data necessary to provide its functionality:
From Discord (via Discord API)
User IDs — unique Discord user identifiers, used to track tag status, moderation history, and registrations
Usernames & Display Names — stored for display in logs and the web dashboard
Avatar URLs — stored to display member avatars in the dashboard
Guild (Server) IDs — used to associate all configuration and logs with the correct server
Guild Member Data — roles, join dates, and primary guild tag presence, fetched when scanning members
Configuration Data
Server settings configured via dashboard (tag role ID, scan interval, AutoMod rules, registration config, etc.)
Channel and role IDs selected in dashboard settings
Activity Logs
Tag detection events (who got tagged / untagged, and when)
Moderation actions (bans, kicks, timeouts, warns) with actor, target, and reason
Registration submissions and approval/rejection records
Music playback history is not persisted beyond the current session
Web Dashboard (Authentication)
Discord OAuth2 is used for login — we receive your Discord user ID, username, avatar, and the list of guilds you are in
We do not store your email address or password
Session tokens are stored server-side and expire automatically
3. How We Use Your Data
To detect and track Discord guild tag membership in your server
To assign or remove roles automatically based on tag status
To record and display moderation actions in the dashboard and audit log
To authenticate you when you log in to the web dashboard
To provide server administrators with usage statistics and member logs
To enforce AutoMod rules configured by the server administrator
We do not sell, rent, or share your data with third parties for marketing purposes. Data is never used for advertising.
4. Data Storage & Security
All data is stored in a PostgreSQL database hosted on a private VPS. Access to the database is restricted to the bot process and is not publicly accessible. We use PgBouncer for connection pooling and industry-standard practices for securing server infrastructure.
While we take reasonable measures to protect your data, no system is 100% secure. We cannot guarantee absolute security.
5. Third-Party Services
ConfTag integrates with the following third-party services:
Discord API — all user and guild data originates from Discord. Discord's own Privacy Policy applies to data on their platform.
SoundCloud — used for music playback search queries. No user data is sent to SoundCloud.
LRCLib — used for lyrics fetching. No user data is sent.
Top.gg — ConfTag is listed on Top.gg for discoverability. Top.gg's own privacy policy governs any data they collect independently.
6. Data Retention
Data associated with your server is retained as long as ConfTag remains in your server. Specific log entries (mod logs, tag logs) are kept indefinitely unless you request deletion.
When ConfTag is removed from a server (kicked or banned), we retain the data for a grace period of 30 days to allow re-adding the bot without losing configuration. After 30 days, all guild-specific data is permanently deleted.
7. Your Rights
You have the right to:
Access — request a summary of what data we hold about your server or user account
Deletion — request the immediate deletion of all data associated with your server or Discord user ID
Correction — request correction of inaccurate data
Opt-out — remove the bot from your server at any time to stop all future data collection
To exercise any of these rights, contact us via the support server below. We aim to respond to all requests within 7 days.
8. Children's Privacy
ConfTag is not directed at children under the age of 13. We do not knowingly collect data from users under 13. If you believe a user under 13 has used the service, please contact us immediately and we will remove the relevant data.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected by the "Last updated" date at the top of this page. We encourage you to review this page periodically. Continued use of the service after changes constitutes acceptance of the updated policy.
